Data Archival and Removal Policy

Effective October 1, 2026

How Expedition Labs removes data, what triggers a removal, and what we do about archives.

What this policy covers

This policy covers the two places Expedition Labs handles data: this website, expeditionlabs.co, and Meeting Mouse, the availability poll app for Slack that we run at app.meetingmouse.net. Work we do for a client is covered by the written agreement for that engagement.

Archival

We do not archive customer data. Meeting Mouse keeps its data in one production database until the data is deleted. Nothing is moved to cold storage, exported to another system, or kept in a separate archive after its retention period ends.

The only other copies are the ones our providers keep for recovery: the database provider's restore history, which covers a rolling window of at most 30 days, and the hosting provider's request logs. We use the restore history only to recover from a failure.

What triggers a removal

TriggerWhat is removedWhen
A workspace removes Meeting MouseEverything stored for that workspace: its polls, the answers, the stored names and time zones, and the access tokenAt once, when Slack reports the removal
An organizer deletes a pollThe poll, the times it offered and every answer on itAt once
A retention period endsPolls and stored profile copies that are past their periodWithin a day, by a scheduled job
A person asks us to delete their dataThat person's answers on every poll in the workspace, and the stored copy of their name and time zoneWithin 30 days of the request

How data is removed

Removal means the rows are deleted from the database. We do not mark data as deleted and keep it. Once a removal runs, the data cannot be restored from the production database.

A deleted record can remain in the database provider's restore history until that window passes, at most 30 days later. Request logs expire on the hosting provider's schedule.

What we cannot remove

A poll message that Meeting Mouse already posted stays in your Slack channel until someone in the workspace deletes it there. Slack holds that message, and Slack's own retention settings apply to it.

How to request removal

A workspace admin can remove Meeting Mouse from the workspace in Slack, which deletes everything for that workspace without contacting us. To have one person's data removed, write to support@meetingmouse.net with the name of the Slack workspace and the person's name in it. We confirm when it is done.

To have email you sent to Expedition Labs deleted, write to hello@expeditionlabs.co.

If a product is retired

If we shut down a hosted product, we give notice on its website first and then delete all stored data for every workspace.

Changes

When this policy changes, this page is updated and given a new effective date.
